Time off management

Leave balances and requests without the spreadsheet

Annual, sick and unpaid leave with yearly allowances. Employees ask from the app (with a doctor's note when it is sick leave), managers approve or decline, and the balance and the calendar update on their own.

  • Annual, sick and unpaid leave with yearly allowances
  • Requests from the app, a note for sick leave
  • Balance and calendar update by themselves

In plain words

What is time off management?

It is keeping track of how many days of leave each person has, who has asked for some, who agreed, and what is left. Done in a spreadsheet it drifts: balances are wrong, requests get lost, and a day off is counted as an absence.

In dayFlow the balance is calculated from the allowance and the approved leave, a request is a record with its own history, and the calendar, schedule and timesheet all know about the leave, so a day of approved leave is never reported as absent.

What you get

Time off management, feature by feature

Allowances that fit your policy

Set the days of annual, sick and unpaid leave for the company, and override them for one person. Adjust a balance up or down with a reason, and the reason stays on record.

In practice

  • Company allowance, per-person override
  • Add, remove or set a total, with a reason
  • Unpaid leave can have no limit

Requests from the app

An employee picks a type, full or half days and dates, adds a reason and, for sick leave, attaches a doctor's note from their phone. Only working days count, so weekly offs and holidays are not deducted.

In practice

  • Full days and half days
  • Document required for sick leave
  • Working days counted for you

A clear decision trail

A manager with the right to decide requests, who looks after that employee, approves or declines with a note. The balance at the time of the request and at the decision is kept with it, so nobody argues later about what was left.

In practice

  • Approve or decline with a comment
  • Balance at request and at decision recorded
  • Nobody decides their own request

Leave shows up everywhere it should

Approved leave appears on the employee's calendar, on the schedule grid and on the timesheet, where it replaces an absence. It also appears in payroll as paid or unpaid leave days.

In practice

  • Calendar and schedule show leave
  • Timesheet counts it as leave, not absence
  • Paid and unpaid days in the payroll sheet

Examples

How teams use it

  • Example 1

    A small retail team

Staff ask for a day off from the app. The store manager sees the balance and the rota together, approves one and declines another that clashes with a busy weekend.

  • Example 2

    A company with sick-leave rules

A doctor's note is required. The photo is attached to the request, readable by the decider, and kept with the leave.

  • Example 3

    Year-end checking

HR opens the leave report for the year, sees each person's allowance, used and remaining days, and adjusts one balance with the reason written down.

Up and running in three steps

    Set the yearly allowances.

  2. 2

Employees send a leave request from the app.

  3. 3

A manager decides and the balance follows.

Who it is for

Made for teams like these

  • HR and office managers
  • Teams with weekly offs and rotas
  • Companies with sick-note rules
  • Payroll teams that need leave lines

Part of a whole

How it fits with the rest of dayFlow

Leave is part of the same picture as attendance: it removes expected days from the schedule, keeps a day off from showing as absent, and is paid or unpaid in the payroll sheet. Requests land in the same inbox as corrections and overtime.

Questions

Things people ask

Who decides a leave request?

A manager with the right to decide requests, who looks after that employee. Nobody can decide their own request.

Can the balance go negative?

Only if a manager with the right to manage leave approves it on purpose; otherwise the request is refused with the days left.

Are balances kept per year?

Yes. Allowances are per year, and a past year keeps the allowance rules it had.

Can someone take more leave than they have?

Only if a manager with the right to manage leave approves it on purpose; otherwise the request is refused and says how many days are left.

What happens to leave that overlaps a holiday?

Holidays are not working days, so they are not deducted from the balance.

Can leave be cancelled?

Yes. A cancelled entry keeps its history and gives the days back.

Is each year separate?

Yes. Balances are per year, and a past year keeps the allowance rules it had.
